Spring 2023 Poster Registration and Guidelines
POSTER REGISTRATION AND GUIDELINES
Students must fill out the poster registration form to register your poster. Please read the following instructions carefully; you will need to gather some information before you register.
Be sure to have the following information readily available during the registration process:
1. Names of all poster authors/researchers - choose one as Poster Representative for registration purposes.
2. The Poster Representative should fill out this registration form. Only one registration contact per poster is necessary.
3. Poster title and abstract (50-100 words).
4. Determine which department you want to be affiliated with for poster judging.
5. You must choose a one-hour time slot when you or a co-author will be on site for presentations with judges.
Please make sure your judging category is correct before submitting the form. You may contact Jane Kirsch for any questions or problems. Please be accurate, as the poster titles, abstracts, and poster judging time cannot be changed after the Qualtrics survey is submitted.
POSTER PRESENTATIONS Poster check-in time: Thursday, April 20, 2023, 8:00 - 9:30am
Posters must be displayed and ready for visitors and poster judges by 9:45am.
All posters must be removed by 4pm on Thursday. Posters left after 4pm will be discarded.

GUIDELINES AND POSTER REQUIREMENTS
Each poster should include an introduction to the topic, its key points, and a summary of the results. Your poster should be self-explanatory. This will help people who might come to view it while you are discussing your project with someone else. Consider bringing reprints of your research to accommodate requests for a more detailed overview of your project. Materials: The size of the poster must be 42" long x 30" wide (including margins). The 42-inch dimension is based on the fact that the COE printer is set to print at 42 inch maximum. If you have a poster that is already printed because you made it for another event, you can use it regardless of the dimensions (no need to reprint/redesign it - but please contact Jane Kirsch ahead of time to let her know if your dimensions are different than this).

Please plan on printing your poster early! The COE printer will be very busy at the time of ROH. You must make arrangements with your department for the poster printing details before you print your poster (speak with the Department Admin). When ready, submit your poster for printing here.
Type Size: Your poster will be viewed from a distance of a meter or more. To aid public viewing, please make sure the type is readable from a distance. No type should be less than 20 pt. Use a heavy, legible font that is free from unnecessary ornamentation (e.g., Arial, Calibri, and Helvetica are all good choices as they are sans serif fonts. Times is a serifs font and is not ideal for posters.
Graphics, Photographs and Drawings: Presenting data in graphic form may be clearer and more memorable than including it in tables. Be sure to make font and lines on graphics large and thick enough to see. When appropriate, provide the figure with a legend stating a clear, concise message in large type. The legend can contain commentary that would normally appear in the body of a manuscript. It should describe the content of the figure and the conclusions derived. Details of the methodology should be brief and placed at the end of the legend. The background color should be white, for easier viewing and reduced printing costs.
Arrangement and Content: The title, author(s) names, department and departmental affiliation or center should be centered at the top. Consistency in this will make it easier for viewers to scan and browse. In addition, you should include an address to which people can write for further information. Consider including a QR code if you would like to direct them to an electronic copy of your poster or a published manuscript or abstract.

POSTER JUDGING
Posters will be judged via RocketJudge based on 4 criteria:
- The poster has a clearly defined scientific method – hypothesis, methodology, findings, and conclusion.
- The poster clearly communicates the significance and relevance of the results in a way that is easy to understand.
- The student’s presentation was professional, engaging, and showed a command of the information. The student responded well to questions.
- The poster design is well-organized and visually appealing (appropriate font size, layout, and use of visual aids).
- Recognition & Award Categories:
- One Graduate Student Poster Award in each of the 6 CoE departments
- One Undergraduate Student Poster Award in each of the 6 CoE departments
- People’s Choice Award chosen via text message by all attendees, including presenters and judges: 1st, 2nd and 3rd place awards to the top scores.
